Welcome to Pumbara Safaris. Our mission is to provide exceptional safari experiences while ensuring the safety, comfort, and satisfaction of every guest. By confirming a booking with Pumbara Safaris, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions.

1. Booking & Payment

• A 50% non-refundable deposit of the total safari cost is required to confirm your booking unless otherwise agreed in writing.
• The remaining 50% balance must be paid no later than 30 days before the safari departure date.
• Bookings made within 30 days of departure require full payment at the time of booking.
• Payments may be made via bank transfer, credit/debit card, mobile money, or any other payment method approved by Pumbara Safaris.
• A booking is only considered confirmed after receipt of the required payment.

2. Pricing

• All quoted prices are in the stated currency and are subject to availability at the time of booking.
• Prices may change due to increases in park entry fees, government taxes, fuel surcharges, exchange rate fluctuations, or supplier charges before full payment is received.
• Once full payment has been made, your safari price will remain unchanged unless government-imposed charges are introduced.

3. Cancellation Policy

If you need to cancel your booking, the following cancellation charges will apply:

• More than 60 days before departure: Refund less a 10% administrative fee.
• 30–59 days before departure: 50% of the total safari cost will be refunded.
• Less than 30 days before departure: No refund.
• No refunds will be issued for missed activities, late arrivals, unused accommodation, early departures, or voluntarily skipped services.

4. Changes to Bookings

• Requests to change travel dates or itineraries are subject to availability and may incur additional costs.
• Pumbara Safaris reserves the right to substitute accommodation, vehicles, or activities with comparable alternatives if necessary.

5. Safari Itinerary Changes

Pumbara Safaris reserves the right to modify itineraries due to circumstances beyond our control, including but not limited to:

• Weather conditions
• Road conditions
• Park regulations
• Wildlife movements
• Safety or security concerns
• Operational requirements

Whenever possible, guests will be informed in advance, and suitable alternatives will be arranged.

6. Travel Documents

Guests are solely responsible for ensuring they possess:

• A valid passport.
• Appropriate visas.
• Required vaccination certificates.
• Any other travel documentation required by the destination country.

Pumbara Safaris is not liable for costs arising from denied entry due to incomplete travel documentation.

7. Travel Insurance

Comprehensive travel insurance is strongly recommended for all guests and should include coverage for:

• Medical emergencies
• Emergency evacuation
• Trip cancellation or interruption
• Loss or theft of baggage
• Personal liability
• Flight delays

Pumbara Safaris shall not be responsible for expenses that would otherwise be covered by travel insurance.

8. Health & Medical Information

• Guests must disclose any medical conditions, allergies, disabilities, or dietary requirements before travel.
• Guests are responsible for carrying sufficient personal medication throughout the safari.
• Pumbara Safaris recommends consulting your healthcare provider regarding malaria prevention and other travel health precautions.

9. Wildlife & Guest Safety

Wildlife is unpredictable and cannot be controlled.

Guests agree to:

• Follow all instructions given by guides and drivers.
• Remain inside the vehicle unless instructed otherwise.
• Never feed or disturb wildlife.
• Respect park rules and conservation regulations.
• Behave responsibly at all times.

Failure to comply may result in removal from activities without refund.

10. Liability

While every effort is made to ensure a safe and enjoyable safari, Pumbara Safaris shall not be liable for:

• Personal injury or illness.
• Loss, theft, or damage of personal belongings.
• Delays caused by airlines, hotels, government authorities, or third-party suppliers.
• Missed connections due to circumstances beyond our control.
• Acts or omissions of independent service providers.

Participation in safari activities is entirely at the guest’s own risk.

11. Force Majeure

Pumbara Safaris shall not be held liable for delays, cancellations, or failure to perform services due to events beyond reasonable control, including but not limited to:

Natural disasters

• Floods
• Fires
• Pandemics
• Political unrest
• Civil disturbances
• Terrorism
• Government restrictions
• Airline disruptions

In such situations, every reasonable effort will be made to provide suitable alternatives or reschedule the safari where possible.

12. Accommodation

Accommodation is subject to availability.

If a booked lodge or camp becomes unavailable due to unforeseen circumstances, Pumbara Safaris reserves the right to substitute accommodation with another of similar or higher standard.

13. Transportation

• Safari vehicles are maintained to high safety standards.
• Mechanical breakdowns are rare but may occasionally occur.
• Should this happen, Pumbara Safaris will arrange repairs or replacement transport as quickly as possible.

14. Photography & Marketing

Pumbara Safaris may occasionally capture photographs or videos during tours for promotional purposes.

Guests who do not wish to appear in marketing materials should notify us before the safari begins.

15. Guest Conduct

Pumbara Safaris reserves the right to refuse service or terminate a safari without refund if a guest:

• Displays abusive, violent, or threatening behavior.
• Endangers other guests or staff.
• Violates park regulations.
• Damages property.
• Is under the influence of illegal substances.

16. Children Policy

• Children under 18 years must be accompanied by a responsible adult.
• Certain safari activities may have age restrictions imposed by park authorities or accommodation providers.

17. Complaints

Any concerns should be reported immediately to your guide or our office during the safari to allow prompt resolution.

Complaints submitted after the safari may limit our ability to investigate effectively.

18. Privacy

Personal information collected during booking will only be used for reservation purposes and will not be shared with third parties except where necessary to provide booked services or where required by law.

19. Governing Law

These Terms & Conditions are governed by the laws of the Republic of Kenya.

Any disputes arising from services provided by Pumbara Safaris shall be subject to the exclusive jurisdiction of the Kenyan courts.
